How to Set a Vendor Bid Deadline

A vendor bid deadline should give suppliers enough time to review the source documents, ask questions and obtain sub-pricing. State the exact date, time and time zone, and decide in advance whether late quotes are blocked or accepted with a Late label.

Work backward from the decision date

Allow time after submission for completeness checks, clarifications, revisions and internal approval. A deadline immediately before the award date leaves no room for responsible review.

Publish the operational details

Include the time zone, required format, supporting documents, contact method, extension process and whether the deadline is hard or soft.

Use reminders consistently

Schedule reminders relative to the same server-enforced deadline and deduplicate them. Vendors should not receive repeated notices for the same reminder window.
