Getting started
What is ReplyToQuote?
ReplyToQuote gives service businesses one place to build, send and track professional proposals. Customers receive a secure proposal link where they can review the proposal, ask questions, request changes, accept or decline.
Do recipients need an account?
No. A recipient can review and respond to a proposal without creating an account. An account is required only if the recipient wants to create a Quote Inbox, manage projects, request quotes from vendors or use ReplyToQuote on an ongoing basis.
Can I upload a proposal I created elsewhere?
Yes. You can upload an existing proposal PDF and send it through a secure tracked link.
Can I create a proposal inside ReplyToQuote?
Yes. ReplyToQuote includes a basic proposal builder that lets you create and download proposals for free.

What can the sender see?
The sender sees the activity the product actually records: when the proposal link was opened, repeat visits, questions asked, change requests, and the recorded decision with its timestamp. Activity that looks automated is filtered out where it can be identified, and anything uncertain is labelled rather than presented as fact.
Can the sender see who forwarded a proposal?
Not reliably. A proposal link can be forwarded, and ReplyToQuote cannot identify every person who opens it. When a link is opened by a session we cannot tie to a verified email address, it is shown to the sender as an additional or unidentified viewer — never as a named person.
Will every customer provide a decision?
No. ReplyToQuote makes it easier for customers to respond and helps the sender understand engagement, but it cannot guarantee that a recipient will accept, decline or respond.
Can recipients download the proposal?
Yes. A recipient can download the proposal PDF from the secure proposal page, and the download is recorded in the activity history. Once a file has been downloaded it leaves the service, so ReplyToQuote cannot track what happens to it afterwards. A per-proposal setting to disable downloads is not implemented today.
Can customers request revisions?
Yes. Recipients can ask questions or request changes from the secure proposal page. The sender can update the proposal and preserve the activity history.
Decisions and legal effect
Does clicking Accept or Award create a legally binding contract?
ReplyToQuote records the recipient’s stated decision and provides an activity history. Unless the parties have separately agreed otherwise, this status is not an electronic signature and ReplyToQuote does not independently create a contract between the parties. The proposal sender and recipient are responsible for determining whether additional contracts, signatures, purchase orders or approvals are required.
Is ReplyToQuote a party to the proposal?
No. ReplyToQuote provides the software used by the participants. It is not the contractor, customer, buyer, vendor, broker or decision maker and does not determine which proposal is accepted.

What is a Quote Inbox?
A Quote Inbox lets a buyer organize proposals by project, upload quotes received elsewhere, invite coworkers and request new quotes from vendors.
What is the difference between uploading a quote and requesting one?
“Upload Existing Quotes” is for proposals or quotes already received outside ReplyToQuote. “Request a Vendor Quote” sends a new request to a vendor through ReplyToQuote.
Do vendors have to pay to submit a quote?
No. Invited vendors can review a request and submit a quote without paying.
What happens when a submission deadline passes?
It depends on how the request was configured. With a hard deadline the vendor can still open and read the request, but submission closes and the vendor can request an extension, which the buyer approves or declines. When late submissions are allowed, the quote is accepted after the deadline and clearly labelled late for everyone reviewing it.
Can I invite coworkers?
Yes. Project collaborators can be invited as viewers, collaborators or decision makers. The person who initiates the vendor request is the default decision maker unless the role is reassigned.
Accounts, billing and security
Can I cancel a paid subscription?
No payment provider is connected yet, so paid subscriptions cannot be purchased or billed at this time and nothing renews. When billing is enabled, subscriptions will be cancellable from account settings, cancellation will take effect at the end of the billing period already paid for, and access will continue until then. The cancellation and refund rules in the Terms apply.

Proposal pages are served through secure, unguessable links with access controls, and files are kept in private storage reachable only through short-lived authorized links. A link can still be forwarded by the person who received it, so ReplyToQuote cannot guarantee that only the intended person opens it. For sensitive proposals, use the available email-verification setting so the recipient must confirm their address before viewing.

Retention depends on account status, operational requirements and legal obligations. Business records stay available to authorized users while the account is active, and we remove or anonymize information when it is no longer needed for those purposes. The Privacy Policy explains this in detail.

Send a deletion request from the Contact page choosing the Privacy request topic, using the email address on the account. We confirm the request, verify that you control the account, and then delete or anonymize the account and its associated records, apart from anything we must retain for legal or accounting reasons. A self-service delete control inside the product is not available yet.
