What to Include in a Professional Service Proposal
A professional service proposal should identify the parties and project, define the scope and deliverables, show itemized pricing, explain the schedule, state payment terms and validity, and disclose assumptions and exclusions.

The essential sections
Clear structure reduces ambiguity and makes a proposal easier to compare and approve.
- Customer and project details
- Scope and deliverables
- Itemized price and taxes
- Schedule and milestones
- Payment terms
- Assumptions and exclusions
- Expiration date
- Acceptance method
Make exclusions visible
Do not bury exclusions in general notes. If demolition, permits, freight, after-hours labor or third-party work is not included, state it directly beside the relevant scope or in a dedicated exclusions section.
Make the decision easy
End with a clear response path: accept, decline, ask a question or request a revision. A decision path is more useful than asking the customer to compose an open-ended email reply.
